Job Brief,

The Human Resource Officer will be responsible for organizing and managing office administration in order to ensure organizational effectiveness and efficiency. The Human Resource Officer will ensure that administrative processes follow Compassion Aid, USAID rules and regulations, other applicable approved procedures at all times.

KEY RESPONSIBILITIES

  • Ensure compliance with USAID and Compassion Aid’s regulations and standards.
  • Ensure that administration processes run smoothly to support effective and efficient program implementation.
  • Coordinate with IT support to ensure the functionality of office technology and systems.
  • Provide and ensure that all logistics requirements are available for the smooth running of program activities.
  • Ensure the office environment is well-maintained, clean, and safe for all staff.
  • Responsible for managing and reporting operational usage of vehicle fleet and other facility equipment.
  • Support fleet management process
  • Support planning and coordination of business travels for all country office staff
  • Organize and manage meetings, workshops, and training sessions including any needed travel logistics, accommodations and transportation.
  • Maintain lease and contract management database and ensure that renewals, extensions, termination processes are promptly initiated and completed
  • Ensure that all shipments received are properly recorded and ensure that appropriate department is informed of the arrival of each shipment.
  • Support office management and facility management process
  • HR support: Assist with the on boarding process for new hires, including orientation and training. Facilitate effective communication within the organization, ensuring all staff are informed of relevant policies and updates.
  • Establish systems to gather and address feedback to enhance administrative functions.

Qualifications:

  • Diploma or equivalent; bachelor's degree preferred.

  • Proven experience in an administrative role.

  • Strong organizational and time management skills.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office suite.

Job Brief:

We are seeking a detail-oriented and organized Finance Officer to join our finance team. The ideal candidate will have strong analytical skills, attention to detail, and the ability to maintain accurate financial records and reports. This role requires proficiency in accounting principles, software, and procedures.

Key Responsibilities:

  • Assist with the preparation and analysis of financial statements, reports, and budgets.
  • Maintain accurate and organized financial records, including journal entries, ledgers, and accounts receivable/payable.
  • Reconcile financial transactions, accounts, and discrepancies to ensure accuracy and integrity of financial data.
  • Assist with month-end and year-end closing processes, including reconciliations, adjustments, and accruals.
  • Prepare and process invoices, payments, expense reports, and other financial transactions.
  • Assist with payroll processing, including data entry, calculations, and reconciliations.
  • Monitor and track financial transactions, expenses, and budgets to ensure compliance with regulations and company policies.

 Job Overview,

The Operations & Projects  Coordinator, under the supervision of the Compassion Aid Programs Manager, The Operations Coordinator supports the efficient execution of operational activities, ensuring coordination between field teams. The Project Coordinator, Special Programs will plan, coordinate and implement Compassion Aid project activities. He/she will work to ensure that all the project activities are implemented per our mission and strategic objectives and as per the European Union guidelines, procedures and principles.

 KEY RESPONSIBILITIES:

  • Prepare job orders, work schedules, and operational documentation.
  • Track job progress and ensure timely reporting and invoicing support.
  • Ensure compliance with operational procedures and HSSE requirements.
  • Maintain operational records and databases.
  • Support logistics, travel, and equipment mobilization.
  • Support other staff in coordinating the overall project implementation and ensure that Compassion Aid project activities are implemented in accordance with the relevant policies, procedures, and operational guidelines.
  • Conduct quarterly reviews of work plans and budgets and submit work plans and progress reports using project indicator data per the Monitoring and Evaluation team guidance.
  • Maintaining systems for continuous monitoring and provision of regular feedback through scheduled meetings with internal teams and sites or specific technical groups, mostly by teleconference.
  • Coordinate scientific and operational activities internally and externally, including organizing meetings
  • Coordinate ordering and distribution of resources to sites for centrally procured items, and items for sites, ensuring inventories are available for the coordination office.
  • Coordinate travel arrangements for various local and international trips and meetings.
  • To liaise with other departments within the research Programme to ensure smooth running of the projects
  • Undertake other duties as assigned by the Programme Manager.

QUALIFICATIONS:

Essential Criteria:

  • A bachelor’s degree in Business Administration, project management or a related field with at least 2 years relevant working experience or a science degree plus at least 1 years of working experience as a study or clinical trials coordinator
  • Demonstrable experience in writing reports in English
  • Demonstrable experience in organizing large meetings or networks
  • Research work experience and four equivalent publication points
  • Familiarity with migration and refugees principles and best practices
  • Strong facilitation, problem-solving, and stakeholder engagement skills
  • Strong analytical and writing skills
  • Well-developed networking and interpersonal skills;
  • Computer literacy with proficiency in project management tools and Microsoft applications

Job Brief:

The Health and safety officer will ensure that Compassion Aid follows health and safety regulations to provide a safe work place to everyone. They aim to prevent injuries, accidents and health problems.. This role requires proficiency in accounting principles, software, and procedures.

Key Responsibilities:

  • To do risk assessments and audits, checking that machinery and equipment are safe and that management systems and working methods meet current legal standards
  • Explaining regulations in areas such as occupational health; noise, dust and fumes; fire safety and moving and storing dangerous materials, and making sure that everyone follows them
  • Identifying possible dangers and unsafe working methods and suggesting ways to tackle them
  • Working with managers, employees and trade unions to make policies and take action to encourage safe working practices and get rid of possible dangers
  • Consulting the Health and Safety Executive, local authorities and fire authorities, to check that premises meet current legal health and safety standards
  • Running training courses to encourage and promote safe working practices
  • Keeping a record of accidents or complaints, unsafe procedures or equipment and any action taken
  • Testing safety equipment and advising on its use
